Children's Center is seeking an experienced Database Coordinator to join our team of dedicated professionals. Children’s Center’s mission is to support and medically assess children who are suspected victims of abuse or neglect. As the sole organization in Clackamas County providing comprehensive child abuse assessment and intervention services, nationally accredited Children's Center is a place of healing for children, along with their non-offending family members or caregivers. JOB SUMMARY The Database Coordinator is responsible for supporting the Development Department’s fundraising efforts by ensuring the integrity of the donor database, gift entry and donor acknowledgement, and through the production of reports and analytics to inform future development strategies. In addition, the Database Coordinator will play a critical role in the customization of a new patient-tracking database and in maintaining and upgrading the new database following conversion. Reports to: Development & Communications Director DUTIES AND RESPONSIBILITIES Working closely with the Development and Communications Director and the Clinical Director, the Database Coordinator will: ·         Manage and maintain donor database (DonorPerfect) and patient tracking database (Salesforce). ·         Act as primary administrator for both databases for the organization. ·         Ensure databases are updated as new versions are released and new features become available. ·         Guide other database users about appropriate use and enhancements to functionality. ·         Provide technical support to staff and troubleshoot and resolve database-related problems. ·         Ensure accuracy and consistency in all aspects of database information in a manner consistent with data integrity procedures. ·         Maintain database guides. ·         Create and produce routine and customized reports from the databases, as requested. Salesforce: ·         Participate with Clinical Director and consultant in customization of Salesforce to serve as patient tracking database, including import of data from prior database, configuring custom structure, and documenting structure and user procedures. ·         Participate in Salesforce community and leverage resources as appropriate. DonorPerfect: ·         Enter gifts and donor information; maintain and update online donation page(s). ·         Campaign creation and tracking: appeals, events, mailing lists to facilitate follow up contacts. ·         Coordinate receiving and processing of gifts into donor database, ensuring gifts are coded, entered and reconciled in a timely and accurate fashion. ·         Send out monthly, quarterly and annual pledge reminders. ·         Generate acknowledgement letters for gifts, pledges and in-kind contributions within 48 hours of receiving gifts and act as liaison with mail house for direct mail appeals. ·         Organize and maintain donor gift and pledge files, including electronic files. ·         Conduct donor profile research for existing and prospective donors, as requested. QUALIFICATIONS ·         Bachelor’s degree and a minimum of 2 years of experience working with nonprofit databases, or equivalent combination of education and experience. ·         Preference for Salesforce and/or DonorPerfect experience. ·         Proficiency with Microsoft Office Suite, particularly Excel, and experience working with constituent relationship management software. ·         High attention to detail, while maintaining efficiency. ·         Excellent time-management skills, including the ability to balance multiple priorities. ·         Ability to maintain focus and interest while working with repetitive data entry tasks. ·         Excellent English language written and oral communication skills. ·         Knowledge of general office equipment and systems. ·         Discreet in handling confidential matters, tactful and diplomatic with the public and stakeholders.
